The problem
Where parent calls go missing
A parent worried about next week's test wants an answer today.
- After-school lessons, when every tutor and the director are teaching
- Evenings, when parents ring after a hard night of homework
- Term starts and exam seasons, when enquiries peak
- Next-day call backs that arrive after the parent has booked elsewhere
What Yasmin handles
What Yasmin handles for new and current families
- New student enquiries with year level, state and subject
- Free assessments and trial lessons booked from your calendar
- NAPLAN, selective school and Year 12 preparation enquiries
- Fees, group or one-to-one, and online or in-centre questions
- Cancellations and make-up requests, read against your policy
- Pick-up, homework and progress calls logged for the right tutor
How tutoring centres use Yasmin
Lesson-time cover
Divert calls between 3.30 pm and 7 pm. Parents get an assessment booked while tutors keep teaching.
Term and exam peaks
Switch on full cover in the weeks before Term 1 and exam blocks, when every enquiry matters most.
Same-day changes
Cancellations and late pick-ups are flagged urgent so the tutor knows before the lesson starts.

Urgent
Takes the student's name and how late the parent will be, and marks the call urgent for the centre
Urgent
Marks the call urgent for the centre with the student's name and lesson time
Urgent
Does not discuss the tutor, takes the parent's concern in their words, and marks it urgent for the director to call back
Urgent
Does not discuss a student's progress or any other student, and takes a call back request for the tutor
Does not promise marks or results, and passes the question to the director with the parent's details
What Yasmin will not do
- Yasmin does not assess students or recommend a program.
- It never promises marks, bands or results.
- It does not discuss a student's progress or any other student.
- It collects only the details you choose, usually the student's first name.

- YasminThanks for calling Example Learning Centre. This is Yasmin, the centre's AI receptionist, and this call is recorded. Our tutors are in lessons right now, so I will take the details. Are you calling about a new student?
- CallerYes. My daughter is in Year 9 and she is really struggling with maths. She has a test in two weeks.
- YasminI can help with that. What is your daughter's first name?
- CallerMia.
- YasminThanks. Which part of maths is Mia finding hardest?
- CallerAlgebra. She knows it at home, then freezes in the test.
- YasminGot it. Would Mia come into the centre, or learn online?
- CallerThe centre. It is close to her school.
- YasminThe first step is a free assessment with a maths tutor. There is Tuesday at 4 pm or Thursday at 5 pm. Which suits you?
- CallerTuesday.
- YasminDone. Tuesday at 4 pm. Can I take your name and mobile number?
- CallerJo Example, 0400 000 000.
- YasminThanks, Jo. I have booked Mia's free maths assessment for Tuesday at 4 pm and noted the test in two weeks, so the tutor will know before they meet her.

Tutoring centre answering service FAQs
What does Yasmin collect about my students?
Only what you set. For most centres that is the parent's name and mobile, and the student's first name, year level and subject.
Will it promise results?
No. Yasmin does not assess students or promise marks. Questions about results go to the director as a call back.
Does it understand different state curricula?
Yes. It asks which state the student is in, so a Year 11 maths enquiry in New South Wales and one in Victoria are booked with the right tutor.
Can it handle cancellations and make-up lessons?
Yes. It records the change, flags same-day cancellations, and reads out your policy as you wrote it.
Will parents know it is AI?
Yes. Our Acceptable Use Policy requires every agent to say it is AI at the start of every call and to tell callers when calls are recorded, so Yasmin opens every call by saying it is the centre's AI receptionist.
Never let a 4 pm enquiry ring out again
What Yasmin asks every caller+
- Parent name and mobile
- so the call back reaches the person who makes the decision
- Student's first name
- so the tutor knows who they are meeting, without collecting more about a child than you need
- Year level
- so the student is matched with a tutor who teaches that year
- State or curriculum
- a Year 11 student in New South Wales, Victoria or Queensland is studying a different course
- Subject and course
- general or advanced maths, which science, English or EAL/D, so the right tutor takes the first lesson
- The main challenge, in the parent's words
- "she freezes in tests" tells your tutor more than "maths"
- The goal
- catching up, keeping up, extension, or a selective school, scholarship or Year 12 exam
- Test or exam date
- so a student with a test in two weeks is booked first
- In centre or online, and which campus
- so the booking lands in the right room or the right online session
- Days and times that suit after school
- so the first lesson fits around sport and school pick-up
- How they heard about you
- so you know which school newsletter, referral or search brought them in
