The problem
Where dealership calls go missing
A buyer who cannot get through usually rings the next dealer with similar stock.
- Saturday yard traffic, when every salesperson is with a customer
- Service and parts calls stuck behind sales enquiries on one line
- Web leads that cool off while they wait for a call back
- Evening browsers who ring after the doors have closed
What Owen handles
What Owen handles for sales, service and parts
- Stock questions answered from the details you load
- Test drives booked into your sales calendar
- Trade-in details taken for your appraiser
- Finance interest passed to your finance team
- Service bookings with rego, kilometres and the work needed
- “Is my car ready?” and parts calls logged for the right desk
How dealerships use Owen
Saturday sales overflow
Divert unanswered sales calls to Owen. Ready buyers with a trade-in and deposit are marked urgent for the sales manager.
Service desk relief
Service bookings and status calls are taken with the rego, so advisers ring back with the answer instead of chasing details.
Web enquiry follow-up
Owen rings back people who submitted an enquiry and asked to be contacted, confirms the car they want and offers a test drive time.
Outbound calls need consent and a Do Not Call Register wash. See our Campaign and Batch Calling Terms.

Urgent
Takes the trade-in details and marks the call urgent, so a salesperson rings back while the buyer is keen
Urgent
Takes the car, the problem and when it was bought, and marks the call urgent for the sales or service manager
Urgent
Tells the caller not to drive an unsafe car, to use roadside assistance or 000 if anyone is in danger, and marks it urgent
Urgent
Books into your service calendar or writes it up for a service adviser, with the rego and kilometres
Takes the rego and writes it up as a call back request for the service adviser
Takes the buyer's details and the kind of car they want as a call back request for the next business day
What Owen will not do
- Owen never negotiates price or values a trade-in.
- It does not quote finance rates or say whether a buyer will be approved.
- It does not promise a car is on the yard; a salesperson confirms first.
- It quotes only the prices you load for each car.

Car dealership answering service FAQs
Can Owen tell a buyer if a car is still available?
It answers from the stock details you load. A salesperson confirms the car is ready before the test drive, so nobody turns up for a car that has sold.
Does it handle service and parts calls too?
Yes. Service calls are booked or logged with the rego and kilometres. Parts enquiries are recorded with the part and the car for your parts desk.
Will it talk about finance?
Only to note that the buyer is interested. Owen passes them to your finance team and does not discuss rates, credit or approval.
Can it call back web enquiries?
Yes, for people who have asked to be contacted. Owen says which dealership it is calling for and works through your questions.
Does it connect to our DMS or CRM?
Bookings go into Google Calendar, Outlook, Calendly, Cal.com or GoHighLevel, and every call result can go to your CRM by webhook.
Where is our call data kept?
Inspra is ISO/IEC 27001:2022 certified. The platform is hosted in Australian regions; some AI model and speech processing may take place in the USA. The Trust Centre explains how call data is handled.
Will buyers know they are talking to AI?
Yes. Our Acceptable Use Policy requires every agent to say it is AI at the start of every call and to tell callers when calls are recorded, so Owen opens every call by saying it is the dealership's AI receptionist.
Stop losing Saturday buyers to a ringing phone
What Owen asks every caller+
- The car they are asking about
- The stock number, the ad or the make, model and year, so the call lands on the right car
- Where they saw it
- Your website, a listings site or driving past the yard, so you know which ads bring buyers in
- New, demo or used
- Buyers of each want different answers, and often a different salesperson
- Test drive day and time
- So the car is cleaned, fuelled and parked out front before they arrive
- Trade-in make, model, year and kilometres
- The first things your appraiser asks
- Trade-in condition and service history
- Logbook history, known faults and damage change the figure
- Money owing on the trade-in
- A payout figure changes the deal, and your finance team needs to know before the buyer sits down
- Cash, finance or not sure yet
- So the right person calls back. Owen does not ask for income or credit details
- When they want to buy
- This week, this month or just looking, so your team rings the ready buyers first
- Suburb
- A buyer from three hours away may want the car held or delivered
- Rego and kilometres (service)
- So the service desk can look up the car and the logbook service due
- The work needed, in the caller's words (service)
- "Grinding noise when I brake" tells the adviser far more than "check car"
- Name, mobile and best time to call
- So the call back reaches them the first time
