The problem

Where workshop calls go missing

A missed logbook service can mean losing a regular customer, not just one job.

  • Your hands are in an engine bay when the phone rings
  • Regos end up scribbled on the back of a job card
  • “Is my car ready?” calls pull techs off the hoist
  • Missed booking calls go to the next workshop on the map

What Kenny handles

What Kenny handles for your workshop

  • Logbook and general service bookings
  • Roadworthy, safety certificate and pink slip inspections, by state
  • Repair calls written up with symptoms in the caller's words
  • Warning light and safe-to-drive questions, with urgent flags
  • Status calls taken as call backs, so nobody guesses
  • Extra work approvals recorded word for word
  • Fleet and business customers with several vehicles

How workshops use Kenny

On the tools

Divert calls you cannot reach. Kenny books routine services and flags anything unsafe, such as soft brakes or a temperature light.

After the roller door comes down

Evening callers get booked for the morning instead of hearing a message bank.

Front counter overflow

When the counter phone is busy, status and approval calls are logged with the rego for your service adviser.

When it is urgent

When a call cannot wait

Pick what the caller says to see what Kenny does with it.

When the caller says

Asks where the car is and if the caller is safe, points them to roadside assistance or 000, and logs an urgent tow-in

Urgent

Marks the call urgent and tells the caller you would rather they did not drive it until it is checked

Urgent

Is set up to tell the caller to pull over safely and switch off, then marks the call urgent

Urgent

Marks the call urgent and notes which light and when it came on

Urgent

Is set up to tell the caller not to drive the car and to keep away from it, then marks the call urgent

Urgent

Takes the name and rego and writes up a call back request. Kenny does not say a car is ready unless you have told it

Writes down exactly what the customer approved, for your service adviser to confirm before anyone picks up a spanner

Books it into your connected calendar, or takes it as a call back request, as you choose

What Kenny will not do

  • Kenny does not diagnose faults or price repairs nobody has seen.
  • It quotes only the fixed prices you give it, such as a logbook service.
  • It does not say a car is ready unless you have told it.
  • It is not a roadside assistance or towing service.

  1. KennyThanks for calling Eastside Auto. You are speaking with Kenny, the AI receptionist. The mechanics are in the workshop, so I will take the details and get this to them. How can I help?
  2. CallerHi. My car is due for a service, and the brakes have started making a grinding noise.
  3. KennyI can help with that. What is the rego, and which state is it registered in?
  4. CallerIt is Victorian. One, D, X, four, five, two.
  5. KennyThanks. What is the make and model, and roughly how many kilometres has it done?
  6. CallerA 2017 Mazda 3. About ninety thousand.
  7. KennyWhen you say grinding, does it happen every time you brake, or only sometimes?
  8. CallerEvery time now. It started as a squeal a few weeks ago.
  9. KennyAre there any warning lights on the dash?
  10. CallerNo, nothing.
  11. KennyThanks. Because the brakes are grinding, the workshop would rather you did not drive it far until it has been looked at. Can you bring it in yourself, or do you need it towed?
  12. CallerIt is only a couple of kilometres. I can drive it in carefully.
  13. KennyI have marked this as urgent for the workshop with a service and brake check. The earliest drop-off I have is tomorrow at eight. Does that work?
  14. CallerYes, that is fine.
  15. KennyWill you wait, or do you need a lift or a loan car?
  16. CallerI will need a lift to the station.
  17. KennyDone. The mechanic will confirm the price once they have seen the brakes. Is this the best number to reach you?
  18. CallerYes, it is my mobile.

Mechanic answering service FAQs

Can Kenny tell a customer their car is ready?

Not on its own. It cannot see job progress in your workshop, so it takes the name and rego and logs a call back.

Can it give prices?

Yes, for fixed prices you load, such as logbook services or inspection fees. For repairs, it says the mechanic will confirm the price once the car is in.

What if someone has broken down?

Kenny asks if the caller is safe, points them to their roadside assistance provider or 000 if anyone is in danger, and logs an urgent tow-in request.

Does it know the inspection names in my state?

Yes. You can set it to book a roadworthy certificate, a safety certificate or a pink slip, using the term your customers know.

Does it connect to my workshop software?

Bookings go into Google Calendar, Outlook, Calendly, Cal.com or GoHighLevel, and every call can go to other systems by webhook.

Will my customers know they are talking to AI?

Yes. Our Acceptable Use Policy requires every agent to say it is AI at the start of every call and to tell callers when calls are recorded, so Kenny opens every call by saying it is the workshop's AI receptionist.

Keep your hands on the job, not the phone

What Kenny asks every caller+
Rego and state
Pulls up the car and its history in your system before you ring back
Make, model, year and kilometres
Tells you which service is due, which parts to order and how long to book the hoist
The job
Logbook service, general service, roadworthy or safety inspection, or a repair, so you book the right length of time
What the car is doing, in the caller's words
"Squealing when I brake in the morning" tells you far more than "brakes"
Warning lights on the dash
Which light, and whether it is steady or flashing, which can change whether the car should be driven in
Safe to drive in?
Whether you are booking a drop-off or the customer needs a tow to your workshop
Drop-off day and time
So the car arrives when you have a bay, not on your busiest morning
Waiting, lift or loan car
Whether you need a seat in the waiting room, a lift to the station or one of your loan cars
New or returning customer, and fleet account
Who pays, and whether it goes on an account
Best number and time to call
So your call back reaches them the first time
